Privacy Policy

Last updated: 16 October 2026

1. Who is responsible

Federico Cian, trading as Volleydex, VAT number IT05471900265, 31100 Treviso (TV), Italy. Contact for privacy requests: [email protected].

For content a club uploads about its players, the club decides what to upload and who can see it. We process that content on the club’s behalf to provide the service.

2. What we collect

  • Account data: your email address, your name if you provide it, and the one-time sign-in codes we send you.
  • Club data: the clubs you belong to, your role, and which playlists you can view.
  • Content you upload: match and training videos, scout files (which can include player names and shirt numbers), playlists, markers and comments.
  • Technical data: information needed to run and secure the service, such as error reports.

Video and scout files you open locally in the player stay on your device unless you upload them to the cloud library.

3. Why we use it

To provide and secure the service and your account (performance of our contract with you or your club), to answer your requests, and to meet legal obligations such as tax and accounting.

We do not use your uploaded videos or scout files to train machine-learning models. We do not sell personal data and do not use advertising or analytics trackers.

4. Service providers

We share data only with providers that help us run Volleydex:

  • Railway: application hosting and database.
  • Cloudflare: file storage and hosting of the web player.
  • Resend: delivery of sign-in emails.
  • Modal: processing of uploaded videos for automatic match analysis, when used.
  • OpenAI and TypeSafe: optional assistant and prediction features. When you use them, the request and the relevant match details (such as team codes, player numbers and names) are sent to interpret it.
  • Sentry: website error reports. These contain technical details only, not your name, email or files; Sentry receives your IP address when a report is sent.
  • Google Fonts: web fonts on our pages, which receive your IP address when loading them.
  • Tally: our contact form, if you choose to fill it in.
  • Paddle: payments. Paddle processes payment details as an independent controller; we do not receive your full card details.

Some of these providers may process data outside the European Economic Area. Where they do, the transfer relies on safeguards such as the European Commission’s standard contractual clauses or an adequacy decision.

5. Cookies and local storage

We use only cookies needed for the site to work: a session cookie that keeps you signed in, a short-lived cookie used while you finish signing up, and a cookie remembering your chosen language. The management site also stores upload progress in your browser’s local storage.

6. How long we keep data

We keep account and club data while the account or club is active. Deleted matches are removed together with their files. When an account or club is closed, we delete its data within a reasonable time, except records we must keep by law, such as invoices.

7. Your rights

Under the GDPR you can ask to access, correct, delete or export your personal data, and object to or restrict its processing. Write to [email protected]. Players whose images or data were uploaded by a club can also contact the club directly. You may complain to your data protection authority; in Italy this is the Garante per la protezione dei dati personali.

8. Changes

We will post updates to this policy here and change the date above.
